Wholesale

Supply cafés from the same system that runs your shops.

BakeryMS is wholesale bakery software we built in our own bakery, which supplies cafés alongside its own shops. Each business client has its own prices, delivery notes and invoices are made from the same product list your shops order from, and the goods leave stock when they leave the bakery. Clients who want to can order through their own portal.

Used at Bazaar Bakery in Riga, which supplies cafés alongside its 6 shops.

Wholesale usually runs on the side.

The shops have a system. The cafés phone in, someone types the delivery notes into an accounting program at the end of the day, and each client’s price lives in somebody’s head.

Wholesale on the side

  • Each client’s price is remembered, or copied from an old invoice
  • Delivery notes typed by hand into a separate program
  • Goods sent to cafés never leave stock, so the numbers drift
  • Production adds café quantities to the shop totals by hand
  • Nobody can see at a glance which client has been invoiced

Wholesale in BakeryMS

  • Clients and their prices are set once, product by product
  • Delivery notes and invoices fill in each client’s price on their own
  • The goods leave stock with the delivery
  • Portal orders appear in production next to the shop orders
  • Every document for every client is in one list, with its status

From price list to delivery note

Four steps. The client can take the second one themselves, or leave it to your office.

  1. 01

    Set the client up

Add the business with its registration and VAT numbers and its addresses. Choose the products it can buy and its price for each, or give it a discount on your list price.

  2. 02

    Take the order

The client orders in its own portal and picks a delivery date. If it still phones or sends a message, your office makes the delivery note directly, and the client’s prices fill in on their own.

  3. 03

    Pack it with the shops

Portal orders appear on the factory fulfilment screen under the client’s name, after the shops. Pick lists and packing sheets print for everything that is open.

  4. 04

    Issue the paperwork

Make a delivery note, an invoice or a proforma, from the order or on its own. Print it, save it as a PDF from the print view, or email it to the client. Issuing it takes the goods out of stock.

What it covers

A price per client, in the unit they buy

Sell a tray bake by the kilo to cafés while your shops order it by the piece. Each client sees its own price; a product without one falls back to your list price, less the client’s discount.

Delivery notes, invoices and proformas

Each document type has its own number series. A proforma never touches stock; the delivery note that follows it does. Issued documents are locked, so what the client received cannot change afterwards.

  • Seller and buyer details, VAT by rate and the total in words
  • Paid, unpaid and overdue at a glance
  • Clients see their issued documents in their portal

A portal for clients who want one

Clients log in, order from the products you assigned at their prices, change or cancel an order until the bakery starts packing it, and see their order history and invoices.

Wholesale counted with the shops

Portal orders sit in the same fulfilment list and the same production totals as the shop orders, so the bakery bakes for cafés and shops from one set of numbers.

Good to know before you start

Wholesale in BakeryMS covers prices, orders and paperwork. Some things are not built yet.

Documents follow the Latvian layout

Delivery notes and invoices are built for Latvian requirements. If you invoice in another country, talk to us before you rely on them.

No standing orders or cut-off times

Clients order each delivery. Repeating weekly orders and an order deadline are not built yet.

No driver app

BakeryMS prints the delivery note and the packing sheets. It does not plan routes or record proof of delivery.

Nobody is alerted to a portal order

A new portal order appears on the fulfilment screen; it does not send an email or a notification yet.

Wholesale questions

Can each café have its own prices?

Yes. Set a price per product for each client, or a default discount on your list price. Delivery notes, invoices and the client’s portal all use the same price.

Can we sell by the kilo to cafés and by the piece in our shops?

Yes. A product can have a separate unit and price for business clients, for example a tray bake sold to cafés by the kilo while the shops order it by the piece.

Do our clients have to use the portal?

No. At Bazaar, cafés still order by phone or message, and the office issues the delivery note at their prices. The portal is there for clients who would rather order themselves.

Can we email invoices?

Yes. The document is sent as an email the client can open and print, and it also appears in the client’s portal. A PDF file can be saved from the print view; it is not attached to the email.

Does it replace our accounting software?

No. BakeryMS issues delivery notes and invoices and shows which are paid, but your accountant still keeps the books.

What does it cost?

Wholesale is part of the full system: €149 per month for the first 12 months, €249 per month from month 13, and €490 one-time onboarding. No per-user, per-location or per-client fees. Hardware is separate.
