Shop orders and deliveries

Every shop order in one place, from the tablet to the delivery.

BakeryMS is bakery order management software we built in our own bakery. Shops order on a tablet, production packs every shop from one screen, and the shop checks in what actually arrived. Shortfalls become a new order instead of a phone call, and shop stock follows what was delivered.

Used daily at Bazaar Bakery in Riga: 6 shops and a central bakery.

Bazaar Bakery, August 2026. BakeryMS was built there; the founder co-owns Bazaar.

Orders by phone and WhatsApp get lost between the shop and the oven.

With one shop, a message to the bakery works. With several, someone ends up copying messages into a spreadsheet at night, and nobody is sure what was actually delivered.

Ordering by phone, chat and spreadsheet

  • Orders arrive as calls, chat messages and photos of paper lists
  • Someone adds up every shop by hand before production starts
  • Late changes get missed or counted twice
  • Nobody records what was short, so the shop calls the next morning
  • Shop stock is a guess, because deliveries are never checked in

Ordering in BakeryMS

  • Each shop orders on a tablet, with a delivery date and time
  • Production sees every open order, grouped by shop, on one screen
  • Packed quantities, swaps and extras are recorded line by line
  • The shop checks in what arrived; shortfalls go into a new draft order
  • Shop stock is credited with what was actually received

From order to delivery

Four steps, each done by the person who is already doing the work.

  1. 01

    The shop orders

Choose the order type — fresh, frozen or whatever you use — and the delivery date and time, then tap quantities on product tiles, in pieces or boxes. Unfinished orders stay as drafts; a sent order goes straight to production.

  2. 02

    Production packs

The fulfilment screen lists open orders by shop. Packers enter what went into each crate, swap a product that ran out, or add an extra line. Opening an order marks it as being packed; completing it marks it ready.

  3. 03

    The delivery leaves

Print a pick list for all open orders, grouped by product category, and a packing slip per shop with signature lines. Drivers work from the same order screen as the packers.

  4. 04

    The shop checks it in

The shop counts what arrived against what was packed. Anything short goes into a draft order for the shop to review and send. Shop stock moves only at this step, by the received amount.

What changes for the shops, the bakery and the office

A screen for the people who pack and drive

Give a factory employee a delivery profile and they get the order fulfilment, transfer and invoice upload screens. Bakers without it do not see them, so their tablet stays on production.

Swaps and extras are visible on both sides

If the bakery sends a substitute, the shop sees what was ordered and what came instead, with the reason. Extras added while packing are their own lines, so they are counted rather than slipped into a crate.

Deliveries nobody checked in

If a delivery has been ready for 5 hours and the shop has not checked it in, the shop sees a badge and its tablet gets a notification, between 06:00 and 22:00.

One order list for the office

Head office sees every order from every shop in one list, filtered by shop, delivery date, order type or backorder, and can create a sales invoice from an order.

  • Customer orders for cakes and other specials, picked up at the shop that took them
  • Wholesale clients can log in to their own portal, order from the catalogue and prices you assign, and see their invoices
  • Suggested quantities from past sales on the shop order form — a pilot; the shop still decides

Good to know before you start

Ordering works best when every shop uses it every day.

Each shop needs a device

Shops order and check in deliveries in the browser, on a tablet or phone with internet. Hardware is not included.

The product list comes first

Shops can only order products set up as orderable, with their order type and box size. We set this up with you during onboarding.

Stock depends on the check-in

Shop stock is credited when the shop checks a delivery in. A shop that skips it gets reminders, but its stock will be behind until it does.

No route planning

BakeryMS records what was packed and received. It does not plan driver routes or track vehicles.

Shop order questions

Can shops order in boxes as well as pieces?

Yes. Each product is set up with the unit shops order in and, for boxes, how many pieces a box holds, so the bakery and the shop count the same thing.

What happens when the bakery cannot fill an order?

Packers enter what they actually packed, or swap in another product with a reason. When the shop checks the delivery in, anything still short goes into a draft order. It is not sent automatically: the shop reviews it and sends it if it still needs the products.

Do drivers need a separate app?

No. Drivers and packers use the same web portal as the rest of production, on a tablet or phone. A delivery profile gives them the order screens.

Can wholesale customers order too?

Yes. Wholesale clients get their own login, see only the products and prices you assign to them, and their orders appear in production next to the shop orders. They can change or cancel an order until packing starts.

Does BakeryMS tell shops how much to order?

Suggested quantities based on past sales are being piloted on the order form. They never fill in an order on their own; the shop decides.

What does it cost?

Shop orders and deliveries are part of the full system: €149 per month for the first 12 months, €249 per month from month 13, and €490 one-time onboarding. No per-user or per-location fees. Hardware is separate.
